About the Opportunity
The Department of Public Works and Infrastructure is inviting applications for an Admin Clerk: Facilities Management position at the Kimberley Regional Office.
This is an excellent entry-level government opportunity for candidates with a Grade 12 qualification who are looking to build experience in administration, facilities management, finance-related administration and public-sector operations.

Minimum Requirements
Applicants must have:
National Senior Certificate / Grade 12 or equivalent qualification
No previous work experience required

Duties and Responsibilities
The successful candidate will be responsible for providing administrative and facilities management support within the component.
Key duties will include:
Coordinating and recording complaints
Ensuring complaints are properly recorded and attended to
Approving complaints on the Archibus System
Updating complaint statuses on the Workx4u system using quotations
Capturing quotations on spreadsheets
Following up on quotations with Works Managers
Checking quotations against complaints and calculations
Administering and capturing payments
Capturing approved funds on the system and forwarding them to Supply Chain Management (SCM) for orders
Following up on outstanding orders with SCM
Receiving invoices from SCM and forwarding them to Works Managers for certification
Receiving certified invoices from Works Managers
Ensuring service providers are paid within the required 30-day payment period
Receiving recommended reports from the Control Works Manager
Submitting complaints reports to the Deputy Director for approval
Compiling 415 forms with reports and forwarding them to the Works Manager
Receiving 415 forms from the Control Works Manager and forwarding them for funds approval
Compiling accruals
Providing general clerical and administrative support
Recording, organising, storing, capturing and retrieving correspondence and data
Updating registers and statistics
Handling routine enquiries
Making photocopies and receiving or sending facsimiles
Distributing documents and packages to relevant stakeholders
Maintaining the filing system of the component
Typing basic letters and other correspondence when required
Maintaining incoming and outgoing registers
Providing Supply Chain Management clerical support
Providing personnel administration clerical support
Maintaining the component's leave register
Maintaining personnel records
