Before you start the Z83

Set aside enough time to read the whole advert and complete the form without guessing. Keep the vacancy advert open while you work, because the job title, reference number, department and submission address must match it exactly.

  • Note the exact post title, department and reference number.

Do not rely on a social media summary

Use the department's full advert or the official DPSA vacancy circular. A repost may leave out the reference number, delivery instructions or special requirements.

The advertised post

Section A connects your application to a specific vacancy. Copy the information from the advert instead of shortening or rewording it.

Position applied for

Write the complete advertised job title. Include a grade, centre, directorate or location when it forms part of the title and helps distinguish the vacancy.

Department

Use the department or public body named in the advert. Do not use the website, recruitment agency or social media page where you happened to find the vacancy.

Reference number

Copy every letter, number, slash and hyphen carefully. A wrong or missing reference can send your application to the wrong recruitment process.

Example: If the advert says Administrative Clerk: Human Resources, Ref No: HR/22/2026, reproduce those details exactly rather than writing only Admin Clerk.

Applying for two posts?

Prepare a separate Z83 and application for each vacancy. Each one must carry the correct post title and reference number.

Personal information

Enter your legal personal details accurately and consistently. Your names and identity information should agree with the documents you may later be asked to provide.

  • Write your surname and full names clearly.
  • Provide your date of birth or identity details in the format requested by the form.
  • Answer citizenship, work-permit, criminal-case, misconduct and business-interest questions truthfully.
  • Where a question genuinely does not apply, write N/A instead of leaving an unexplained blank.
  • If you answer Yes to a question that asks for details, provide a short, accurate explanation in the available space or as instructed.
Accuracy matters more than trying to look perfect

A false declaration can damage your application or employment later. Read every Yes/No question carefully and disclose information where the form requires it.

Contact details and language proficiency

Section C: Contact details

Use contact details you check regularly. Recruiters may need to reach you quickly about screening, assessments or interviews.

  • Give an active mobile number and check that every digit is correct.
  • Use an email address you can access and inspect the spam folder while applications are active.
  • Select or state your preferred method and language of correspondence where requested.
  • Tell the department if your contact details change after you apply.

Qualifications and work experience

Section E: Formal qualifications

List completed formal qualifications in the order requested, normally starting with your most recent or highest qualification. Use the official qualification and institution names, and make sure completion dates agree with your CV.

  • Do not claim an incomplete qualification as completed.
  • If you are currently studying, state the institution and qualification in the space provided.
  • Include school-level information when the form or vacancy requires it.
  • Keep certificates and academic records ready in case shortlisted candidates are asked for them.

Section F: Work experience

Record relevant employers, job titles and dates accurately. Your detailed CV should then explain the responsibilities, systems, achievements and level of work behind those entries.

  • Use month and year dates consistently so the timeline is easy to follow.
  • Include relevant internships, learnerships, community service or volunteer work, and label them honestly.
  • Do not inflate a job title or copy duties you did not perform.
  • Where the form asks why you left a role, answer briefly and professionally.

Stronger CV detail: Instead of writing only administration, explain the evidence: Captured supplier invoices, maintained an electronic filing register and responded to public enquiries by phone and email.

References

Provide referees who can credibly confirm your work, study or professional conduct. The form provides space for three references, so choose people who know your contribution and can be reached.

  • Use a recent supervisor, manager, lecturer, mentor or community leader where appropriate.
  • Avoid family members and close friends unless an advert specifically permits personal references.
  • Ask each person for permission before listing their contact details.
  • Confirm their current job title, organisation, telephone number and email address.
  • Tell them which post you are applying for so they can respond with context.

Declaration, signature and date

Read the declaration before signing. Your signature confirms that the information supplied is true and complete to the best of your knowledge and that you understand the application conditions.

  • Sign in the correct declaration area.
  • Add the date in the requested format.
  • Initial any place the form specifically requires.
  • Check that the signature is visible in the final PDF or scan.
An unsigned Z83 may be rejected

Typing your name in an unrelated field is not a substitute for completing the declaration. Follow the signature method accepted in the advert and inspect the submitted file before sending it.

Which supporting documents should you attach?

There is no safe one-size-fits-all answer. Many current public service adverts instruct applicants to submit only a completed Z83 and a detailed CV initially, with certified copies of qualifications and other supporting documents requested from shortlisted candidates. Other adverts may set different requirements.

The vacancy advert controls your application

Read the application instructions for that exact post. Attach what it requests, no less, and avoid sending unnecessary identity documents when they are not required at the initial stage.

A current DPSA vacancy circular reviewed for this guide states that shortlisted candidates will be asked for certified supporting documents before interviews. That example is useful, but it does not override another advert's written instructions.

Protect your personal information

Send applications only to the official email address, e-recruitment portal or physical address listed by the department. Be cautious when an unknown person asks for an ID copy, banking details or payment to process a government job application.

Common Z83 mistakes that weaken applications

  • Using an old form. Start with the revised Z83 introduced on 1 January 2021.
  • Leaving out the reference number. Copy it exactly from the advert.
  • Using one form for several posts. Submit a separate application for each vacancy.
  • Leaving unexplained blanks. Complete every relevant field and use N/A only where it truly applies.
  • Giving inconsistent dates. Make the Z83, CV and later supporting documents agree.
  • Skipping required explanations. When you select Yes and the form asks for details, supply them truthfully.
  • Forgetting the declaration. Sign and date the form before submitting it.
  • Ignoring the submission instructions. Use the exact address, subject line, portal and file format stated in the advert.
  • Submitting after the deadline. Treat the stated closing time as final and allow for upload or email delays.

Final Z83 application checklist

  • The post title, department and reference number match the advert.
